Partners Corporate Services Sdn Bhd and its affiliated companies ("Partners", "we" or "us"), are committed to honouring the privacy and security of the personal data of its website users, job applicants, business contacts, and other individuals whose data we will collect ("user(s)" or "you").

This Personal Data Protection Notice (“Notice”) informs you how we will collect, store and use personal information when you make use of our websites or otherwise communicate with us in the course of our business activities.

 Personal data is information about a living person, including identification details, contact details and other information processed in conjunction with Partners services.

By submitting your own or another individual’s personal data, you confirm that you and such other individual agree to our collection, use and disclosure of personal data in accordance with this Privacy Policy. Please do not send us any personal data if you do not want it used in this way.

Personal Information & Data Collection

In the course of your dealings with us, we may request that you provide data and information about yourself, your organisation, your employees and/or your customers ("Personal Data”) to enable us to enter into transactions with you or to deliver the necessary services and/or deliverables in connection with our business.

Personal data includes contact details (e.g., name, work address, telephone number and email address), work history (e.g., work function, education, training and details of former employment), identification information (e.g., passport details, visa and immigration status, date and place of birth) and billing information (e.g., account numbers and tax information). We may also collect sensitive personal data which includes information as to physical or mental health, political opinions, religious beliefs or other beliefs of a similar nature, the commission or alleged commission of an offence and other such data necessary for the performance of our services to you.

We collect personal data through direct contact with our clients, potential clients, their affiliates and affiliated individuals and through information publicly available on websites or from subscription services. 

We do not sell or otherwise make personal information commercially available to any third party, except as described in this Notice or with your prior permission

 If you give us information about some other person, such as your employer, colleague, employee and/or agent and spouse, partner, children, next of kin, or relative of same, you confirm that the other person has appointed you to act on his/her behalf and has agreed that you can:

  • give consent on his/her behalf to the processing of his/her personal data;

  • receive on his/her behalf any data protection notices; and

  • warrant that you have obtained his/her consent for us to store his/her personal data. 

Why do we collect Personal Data?

We use and share Personal Information as described in this Privacy Policy and for the following purposes:

  • To identify and authenticate your access;

  • To conduct analytics in order to improve and customize our websites and the ways we communicate with you;

  • To present you and your company business opportunities regarding our products and services;

  • To send you marketing communications, updates and newsletters and present personalized content (see below under "Marketing");

  • To manage your application for a job positon at Partners (as applicable);

  • To support and troubleshoot our services, to respond to your queries and communicate with you;

We collect and process your personal data to facilitate the provision of our professional services, including client services, conflicts checking, billing and marketing.  We may also process your personal data in order to comply with our legal obligations.

Personal Data you provide will be collected, used and otherwise processed by us for, amongst others, the following purposes:

  • the delivery of services or deliverables and the marketing of such services or deliverables whether present or future, to you;

  • to manage our relationship with you and to send client promotional material we feel may be of interest to you;

  • meeting any legal or regulatory requirements relating to our provision of services and deliverables, and to make disclosure under the requirements of any applicable law, regulation, direction, court order, by-law, guideline, circular, code applicable to us; and

  • enable us to send you information by e-mail, telecommunication means (telephone calls or text messages) or social media about products and services offered by selected third parties.

For achieving the above purposes, we may share personal data with our affiliated companies or business partners or to a third party service or product providers within or outside the country in which we are established, under conditions of confidentiality and similar levels of security safeguards. However where those countries do not have well developed data protection legislation, we will ensure that we the same agree with the terms of this Notice.  

What are the effects of failing to provide Personal Data to Partners?

  • We may not be able to deliver our services to you.

  • We may be unable to update you on technical developments, our services and/or send you material we think be of interest to you or your business.

With whom we share the information we collect

Your personal data will only be shared within Partners and parties Partners deems necessary in the delivery of our services to you.

Consistent with our professional and ethical obligations, Partners may allow others to access your information in order to process data on our behalf in connection with the conduct of our business or where disclosure of your information is in your interest or is otherwise permitted, required or authorized under applicable law.

Prior to allowing any third party access to your information for the purpose of conducting our business, Partners will take all reasonable steps to ensure that such third party enjoys a sound business reputation and provides at least the same level of privacy protection that we offer to our clients.  

We may also share personal information with a variety of the following categories of third parties as necessary:

  • Our professional advisers such as lawyers and accountants and external auditors;

  • Government or regulatory authorities;

  • Professional indemnity or other relevant insurers;

  • Third parties to whom we outsource certain services such as, without limitation, document processing and translation services, confidential waste disposal, IT systems or software providers, IT Support service providers, and document and information storage providers;

  • Third parties engaged in the course of the services we provide to clients such as counsel and experts such as tax advisors or valuers;

  • Third-party postal or courier providers;

  • Please note this list is non-exhaustive and there may be other examples that we need to share with other parties in order to provide the Services as effectively as we can. Such third parties include (but are not limited to) :-

  • for the purpose of collaborating with law enforcement agencies or in case, we find it necessary in order to enforce intellectual property or other legal rights.

Security of your Personal Information

We take security very seriously. We have implemented and maintain appropriate technical and organisational security measures, policies and procedures designed to reduce the risk of accidental destruction or loss, or the unauthorised disclosure or access to such information appropriate to the nature of the information concerned. Measures we take include, for example:

  • placing confidentiality requirements on our staff members and service providers;

  • destroying or permanently anonymising Personal Information if it is no longer needed for the purposes for which it was collected; and

However, due to the open communication nature of the Internet, we cannot guarantee that communications between you and Partners, and Partners and you, will be free from unauthorized access by third parties.

Storing your Personal Information

We will store your Personal Information for as long as is reasonably necessary for the purposes for which it was collected, as explained in this privacy policy. Where your information is no longer needed, we will ensure that it is disposed of in a secure manner. In some circumstances, we may store your Personal Information for longer periods of time, for instance where we are required to do so in accordance with legal, regulatory, tax, and accounting requirements.

In specific circumstances, we may store your Personal Information for longer periods of time so that we have an accurate record of your dealings with us in the event of any complaints or challenges, or if we reasonably believe there is a prospect of litigation relating to your Personal Information or dealings.

Social Media

Partners reserves the right to remove commentary on its social media channels. We will remove posts that are outside the original intent of the conversation, as well as those that we deem offensive or illegal. In addition, posts that drive to individual websites or products with the intent of personal gain, or those that disclose confidential information, will be removed.

Marketing

We may use Personal Information to let you know about our products and services that we believe will be of interest to your company. We may contact you by email, post, or telephone or through other communication channels that we think you may find helpful. In all cases, we will respect your preferences for how you would like us to manage marketing activity with you.
